[Updated] Unofficial guide to SMU Email Server


Technology refuses to cease to amaze us. Below is an updated guide to configuring your devices to the email server. The previous version may still be relevant but is not maintained.

Notes:

  1. This guide is used as it is. There are parts of the guide I have yet to test out, however have been found in the outlook help page.
  2. The acronym “SMU” refers to Singapore Management University. If you landed here in search for email configuration guide for other institutions (ie, Southern Methodist University), please consult your institution IT team instead.
  3. If there are any errors in this guide, please do comment in this post and I will correct it as soon as possible.

SMU has outsourced most, if not all, of its E-mail services to Microsoft through Live@Edu domain. As such, the configurations to the new servers are slightly different from the old servers.

This guide is mainly for the following devices/software:

  1. Microsoft Outlook 2010/2007
  2. Entourage 2008
  3. Exchange settings on Smartphones (Android OS applicable)
  4. POP and IMAP settings

In Outlook 2010, the setup is rather painless. It is able to recognise pod51003.outlook.com as the server automatically. Also, you are able to sync up to 3 Exchange accounts with Outlook 2010. This means that if you are a club secretary, you will be able to have your personal school email and club school email updating live on your PC.

Steps:

  1. File >> Add Account
  2. Enter the following information:
    1. Name: Your name
    2. Email address: mary.jane.2010@sis.smu.edu.sg (Replace sis with your school: business/economics/law/socsc/accountancy. For clubs: replace sis with sa)
    3. Password: your password
  3. Wait for it to auto-detect the server and you are done.

For Outlook 2007, the steps remains the same:

  1. Download and run the following hotfix: http://live.smu.edu.sg/download/live@edu_hotfix.msi
  2. If you have configure the Exchange account previously, delete the settings and re-create the account as per normal.

Note that you will have to login to the Exchange account every time you start the program up. This is because the server is not residing within SMU network domain. The login parameters are:

  • User ID: mary.jane.2010@sis.smu.edu.sg  (Replace sis with your school: business/economics/law/socsc/accountancy. For clubs: replace sis with sa)
  • Password: your password

Set Up Entourage 2008, Web Services Edition for Your Account

You can connect Microsoft Entourage 2008 for Mac OS X to your account using Entourage 2008, Web Services Edition. To do this, you first need to install Entourage 2008, Web Services Edition. This version of Entourage is available as a free update to Microsoft Office 2008 for Mac.

Although you can also connect Entourage for Mac OS X to your account using POP3 or IMAP4, doing this doesn’t provide all the features that are available with Entourage 2008, Web Services Edition. For more information, seeAccess Your Account Using a Mac.

How do I set up Entourage 2008, Web Services Edition access to my e-mail account?
  1. Install Entourage 2008, Web Services Edition. For more information, see the Entourage. Meet Exchange Web Services Web page.
  2. Open Entourage 2008. In the Entourage dialog box, under Select an identity, click New, type a name for your e-mail account, and then click OK.
  3. On the Welcome to Entourage page, make sure Start using Entourage without importing anything is selected. Click the right arrow button.
  4. On the Set Up a Mail Account page, in E-mail address, enter your full e-mail address, for example, tony@contoso.com.
  5. Select the My account is on an Exchange server check box. Click the right arrow button.
  6. The Entourage Setup Assistant will try to automatically set up your account based on your e-mail address. If Entourage is redirected to the server to get your settings, click Always use my response for this server, and then click Allow.
  7. The Entourage Setup Assistant page will appear. Then you’ll see the Configuring Account screen while Entourage tries to set up your account automatically.
  8. If you’re prompted with a message that asks you if you want to allow to configure your settings, select Always use my response for this server, and then click Allow. The server name listed may be similar to https://autodiscover-s.outlook.com/autodiscover/autodiscover.xml.
  9. If the Account Setup Incomplete message box appears, do one of the following:
    • Verify that your name and e-mail address are correct, type outlook.com in the Exchange server box, and then click the right arrow button.
    • To enter or select a different account, click the left arrow button.
  10. In the Optional: Verify Settings dialog box, click Verify My Settings. Read the results of the verification process.
  11. In the Account Information dialog box, do the following:
    1. Make sure the Domain text box is blank.
    2. In the Account ID text box, enter your full e-mail address, for example, tony@contoso.com.
    3. In the Password text box, enter your password. If you want to save your password, select the check box next to Save password in my Mac OS keychain. Click the right arrow button.

    The Autodiscover process may populate the LDAP server text box with a server name. However, this information isn’t needed. If a server name is present in the LDAP server text box, delete the server name.

  12. Do one of the following:
    • If the results show that verification succeeded, click the right arrow button, and then, in the Setup Complete dialog box, click Finish.
    • If the results show verification failed, click the right arrow button and repeat the previous step, and then click the right arrow button. If the results show verification succeeded, click the right arrow button, and then, in the Setup Complete dialog box, click Finish. If the account setup fails again, see the section “What else do I need to know?” at the end of this topic.
  13. If the verification process succeeded, Entourage 2008 will try to synchronize with your e-mail account. If you’re prompted with the Account Information dialog box, do the following:
    • Make sure the Domain text box is blank.
    • In Account ID, enter your full e-mail address, for example, tony@contoso.com.
    • In Password, enter your password. If you want to save your password, select the check box next toSave password in my Mac OS keychain.
  14. If you receive a warning message that indicates that your account information couldn’t be retrieved, click Yesin the dialog box, and then re-enter your e-mail address and password.
  15. To view your mail, click your account name in the Entourage console tree and expand the folders.

What else do I need to know?

  • If you’re connecting to your e-mail account using Entourage 2008, Web Services Edition, when you try to verify your settings, the result pane may list one or more errors. If this happens, you can click the right arrow button to skip the verification process. Some errors are resolved automatically the first time you connect to your mailbox. If not, contact your helpdesk.
  • If you’re connecting to your e-mail account using POP3 or IMAP4, consider using IMAP4 because it supports more features.
  • If you access your e-mail account online using the outlook.com Web site, you’ll need the Windows Live ID that your administrator gave you and your password. The Windows Live ID account is also your primary e-mail address, including the name of the domain, for example, tony@contoso.com.

How to know if your phone is enabled

Check your mail setup options. If there is Microsoft Exchange server option listed, then your phone is enabled. However, majority of the current smartphone OSes have the option listed. If your phone do not have, try connecting to the school server using POP3 settings in the next tab.

Without going into specifics for individual OSes, here are the details you will need to fill in:

  • Account: Microsoft Exchange Account
  • Domain: not applicable
  • Username: your school e-mail i.e. ahseng.tan.2010@sis.smu.edu.sg  (Replace sis with your school: business/economics/law/socsc/accountancy. For clubs: replace sis with sa)
  • Password: your school e-mail password
  • Exchange server: pod51003.outlook.com
  • SSL: Yes

For current account setup, you will just will have to change the Exchange server field to the one above. However, if your domain is filled, please delete off the old account and re-create your account.

External POP setting:

Server name: pod51003.outlook.com (If it is not working for you, please look at the hostname as specified in the Exchange on Smartphones tab.)

Port: 995

Encryption method: SSL

External IMAP setting:

Server name: pod51003.outlook.com

Port: 993

Encryption method: SSL

External SMTP setting:

Server name: pod51003.outlook.com

Port: 587

Encryption method: TLS

For LDAP settings, I require a Mac to check for the settings. I have found the settings in a school manual, but it may be outdated. Any kind souls willing to check?

  1. hey, i dont know whats wrong but i just cant seem to connect my smu alumni email with my iphone / microsoft outlook.

    is that normal?!

    • Hi Jane,

      I am assuming that both alumni and current students' emails are on the same server. Please check if your login credentials are correct. I am assuming that the 180 days password change policy is also in place for alumni, you may want to check with IITS if you have been locked out of your account.
